How-to guides
Small operating guides for the work around a renewal.
Each topic is a full page of steps that match the current Renewal Vista application. Confirm access and plan features in your organization.
Track a contract renewal
Create one renewal record for the agreement, then fill vendor, owner, dates, cost, and the decision.
02Import renewals from CSV
CSV import is a Standard and Business Intake workflow. Rows are staged, corrected, and approved before they become renewals.
03Upload a renewal document
Store the agreement on the renewal. Files are private PDFs streamed through authorized endpoints, not public links.
04Process a renewal PDF
PDF Intake extracts proposed fields. You review them and approve before a renewal is created or updated.
05Set a cancellation deadline
Store the last practical date to give notice separately from the renewal date, and optionally derive it from notice days.
06Set renewal reminders
Email reminders are on Standard and Business. Defaults are 90/60/30/7 before renewal and 30/14/7 before cancellation.
07Organize vendors
Create the vendor first when you can, link each renewal to it, and mark inactive instead of deleting history.
08Review upcoming renewals
Start on the Dashboard, work Needs Attention, then open the renewal to mark it reviewed or record a decision.
09Export renewal data
Reports exports authorized renewals and vendors as CSV. PDF reports follow the current plan and access rules.
10Handle confidential renewals
Confidential records are visible only to Admins, the owner, and assigned users — including lists, documents, reports, and history.
