Mark a renewal confidential

The supported create path for a confidential flag is CSV Intake. Use the optional is_confidential column. Only an Admin can approve a confidential row. Only an Admin can later change confidentiality on an existing renewal.

  1. On Standard or Business, prepare a CSV with is_confidential set to true for the rows that must stay restricted.
  2. Set owner email on those rows to the person who must review them.
  3. Upload in Intake · Queue, correct the staged rows, and have an Admin approve the batch. Non-admins cannot approve a confidential renewal.
  4. Do not rely on department or location membership for access. Assigned users and the owner are the non-admin people who can see it.
  5. Documents on that renewal follow the same access rules as the record.

What reviewers should expect

If someone cannot see a renewal another person created, they may be outside owner, assignment, department, or location scope — or the record may be confidential. Ask an Admin to assign them, change owner, or confirm confidentiality.

  1. Check Users and assignment before assuming the product lost the record.
  2. Exports, PDFs, and dashboard totals omit confidential records the viewer cannot access, including their cost.
  3. Intake cannot be used by a non-admin to remove confidentiality from an existing confidential renewal.
